Data Retention & Deletion
Effective date: October 18, 2026
We keep your data while your account is active. When an account stops being paid for, we delete it automatically on the schedule below.
| Situation | What happens | Permanent deletion |
|---|---|---|
| Active subscription | Full access; data kept | Never, while active |
| Free trial ends without subscribing | Account locked; we email the admin before the trial ends and before deletion | 30 days after the trial ends |
| Subscription canceled | Full access until the end of the paid period, then locked; we email the admin a warning | 90 days after the account is locked |
| Payment fails and is not recovered | Account locked until the invoice is paid; we email the admin a warning | 90 days after the account is locked |
| A user is removed from a team | That user loses access right away | The company's data stays with the company account |
Subscribing or paying again before the deletion date restores full access, with all data intact.
What is deleted. Permanent deletion removes the company account, its users, all Customer Data and uploaded files such as the company logo.
What we keep. Billing and tax records, kept by Stripe and by us, for as long as tax law requires (usually 7 years). Security logs and error reports are kept for up to 90 days. The log of actions and sign-ins in a company's account is part of its Customer Data: we keep the last 12 months while the account is active, and it is deleted with the account. Database backups are overwritten in the normal backup cycle, within 30 days. Records of who accepted our Terms, Privacy Policy and subscription terms, when, and from which IP address are kept for 7 years, even after the account is deleted. If you opted out of our emails, we keep your address on our opt-out list so we do not write to you again.
Deleting sooner. An account admin can ask for immediate deletion at support@diocri.com. We confirm by email once it is done.
